TimeIPS version 3.3.x offers upgrades and improvements over version 3.2.x. To make the most of the new version, please review the following changes:
Note: Some of the items listed require optional modules, which may or may not be listed in the description of the change.
Managers may need to be aware of the following:
The Add New Employee interface appearance has changed, following the system-wide standard with items on the left and data entry area on the right. Some additional options are also included.
The Sign Off Report can now show benefit events that are tagged with a Job.
Improvements have been made to employee audits, including better auditing of the initial values set for an employee when hired, as well as any changes to employee's ability to remote clock and/or use the API.
The appearance of some pages has been updated to match the system-wide standards. Specifically the location and behavior when adding new entries and setting display options.
Administrators may have configured new warnings and/or errors for anyone using the Time Edit/Report. These can be configured to show when employee schedules are not matched with the time and/or when employees have not taken required breaks.
Under Employee Administration, the Personal tab has changed slightly, and now includes a new option to "Force Login Password Change." If this is checked, the employee will be required to change their password the next time they log in. This is useful when the manager sets a temporary password for the employee, who then should immediately set their own password for ongoing use.
The Login screen may include a new button "Login and Change Password" if the option is enabled by the system administrator. If this is present, and clicked when logging in, a password change screen will immediately be available to to the employee so they can update their password.
The Login screen may show a new button "Reset Password" when an invalid password is entered, if the option is enabled by the system administrator. When an employee clicks this button, if they have an email address configured, an email will be sent with a special one-time temporary password they can use to login. After logging in, they will be required to set their regular password. This in helpful when employees forget their passwords as it allows them to regain access without talking to a manager or administrator.
Administrators should know:
Under System -> Company Divisions -> Settings, there is a new option for End of Week Mailer Benefit Status. The amount of information about benefits earned/lost/used can be limited if needed.
Under System -> Company Divisions -> Appearance, the
If using QuickBooks for payroll, a new option to use the QuickBooks Web Connector is available in the payroll export configuration and is recommended for all installations where an SSL certificate is installed.
Under System -> Company Divisions -> Time Edit, there are new options:
Warn on daily schedule violation: The ability to generate warnings in the Time Edit/Report if time is mis-mached with an employee's daily in/out/lunch schedule.
Warn on weekly scheduled hours violation: The ability to generate a warning in the Time Edit/Report if the total weekly hours do not match the setting.
Warn/Error on custom rule (by expression): Provides the ability to evaluate a custom expression before each Time Edit/Report's time edit and warn or error as needed. Expression can help managers edit time with fewer errors by finding missing breaks with the new findMissingBreaks() function. It can also provide warnings for time on day-of-week that is not normally worked, time-of-day that is not normally worked, or any other special logic/conditions as needed.
In custom reporting, a new findMissingBreaks() function is available to help find and count missing breaks for employees covered by special rules for breaks, for example when a 30 minute break is needed for each 5 hours of work, but the break can be waived if less than 6 hours for the day, or a 2nd break can be waived if less than 12 hours for the day and the first break was taken.
In System -> Company Divisions -> Login Security tab, there are new options to set password requirements including minimum length, if an upper/lower character is required and if a number/special character is required. If enabled, these will apply to new passwords set in the system.
In System -> Company Divisions -> Login Security tab, there are new options to limit the number of failed password attempts in a set amount of time, and configure what happens if that number of attempts is exceeded.
In System -> Company Divisions -> Login Security tab, there are new options to show a Password Change button right on the login screen to facilitate employee's ability to change their own password frequently. Also, there is an option to show an employee a Password Reset button in the event they forget their password. If used, a special one-time password will be emailed to the employee, allowing them to then reset their password.
Under Employees -> Employee Administration there is a new icon for Login Logs at the top, available only to Full Access employees. This allows viewing all login attempts, with details including time, IP address, password method, success/failure, etc.
On self-hosted systems (hardware and VM) the process of installing and replacing expired/expiring SSL certificates has been streamlined and simplified.
